I have been searching the market for
several years trying to find a fully featured Document
Management System. One that had the power and features I
wanted was just not available for a reasonable price.
There are several systems out there but most cost $30,000 -
$40,000 or more just for the software. When you add
the required servers, along with the other hardware and software
required, the price begins to sky rocket. My clients are
small to medium size businesses, which just don't have that
kind of money, no matter how good the software is.
This is what I wanted in my dream system:
- It must quickly scan documents
with wide support for all the popular scanners.
- Optical Character Recognition
(OCR) for any document with a very high recognition rate.
- With that OCR text I would
also want full text searching.
- User Definable Key Fields for
searching would be really cool.
- I would really like it if the
Key Fields could automatically be filled in.
- It should be able to handle more
than just scanned in documents. It should handle
electronic documents from just about any other program I use.
Such as Word, Excel, PowerPoint, Graphic files, Acrobat and
others.
- When I print invoices,
statements, checks or reports I want my document management
system to not only archive them for me but also allow me to
quickly retrieve them as needed.
- I also wanted to be able to
archive and retrieve my e-mails and their attachments.
- When documents get really old I
want the system to let me know just in case I wanted to delete
them.
- The document compression needs
to be very good so vast numbers of documents can be stored without taking up
all of my servers hard drive space.
- Security is a must and it must
be HIPAA compliant.
- It must be fast and very easy to
use.

If you have 20 people on your
network. Only 5 of them plus the one scanning station user will
be able to search & retrieve within Questys Pro at one time.
If you need more concurrent users they can be added in packs of 5.
Please keep in mind that system ships with the free Microsoft
MSDE database. It can handle all the documents you can throw
at it. However, when your system expands to more than 6
users it is recommended that you upgrade to a full Microsoft SQL
database / server. And of course you will want to get that
server from me. :-)
The rule of thumb for storage is for every 20,000 pages you will
need 1 gigabyte of storage. A page is defined as a letter
size page with 25% coverage.
If you have mountains of old documents that you would like to
get scanned in but it is just too much of a daunting task. Not
to worry. I am also providing a scanning service to
help you out.
If you need to provide secure web
access to your documents that is no problem, they offer an optional Web
Access module. Your Web users can also add documents to
the system that they have created or scanned. Another optional module
that allows you to take any branch of your Questys database and
send it out to a fully searchable / printable CD or DVD.
It is not only royalty free but the people you give it to don't
even need Questys Pro to use it.
